A proposal can answer a request for proposals or start a conversation with a potential buyer. In either case, adapt it to the decision the client must make. A business plan explains the venture to owners or funders; a client proposal offers a defined engagement. Do not substitute a generic company history for an answer to the client’s requirement.

Check a fictional fixed-fee project before quoting

A catalog photography proposal includes 20 finished images, one agreed background treatment and one consolidated correction round within the stated scope. The seller estimates 20 production hours plus ten planning, communication and editing hours. At an internal loaded rate of $40, included labor is $1,200. Add $300 studio and materials and $150 travel for a defined delivery cost of $1,650.

At a $2,400 fee, contribution after those included costs is $750, or 31.25% of the fee. Markup on that same $1,650 cost is 45.45%. The percentages use different denominators. Neither establishes net company profit because shared overhead and other omitted costs still need coverage. The $40 rate must represent the chosen cost basis consistently.
