Cleaning job-cost worksheet

Published

Compare the quote with the costs of the completed cleaning job. The workbook contains a blank Job sheet and a separate Example sheet. The example is illustrative, not a customer result.

Download editable worksheet (.xlsx)

Use it in five steps

  1. Enter a job reference and currency label. Leave customer identities out of shared copies.
  2. Enter the quoted revenue and estimated total paid crew-hours, loaded hourly cost, supplies, travel, other direct costs and payment-fee percentage.
  3. After delivery, fill every matching actual input from your records. Enter zero when a cost genuinely does not apply.
  4. Compare contribution and the actual-minus-estimate differences. A negative contribution difference means the job left less than estimated.
  5. Use the actual cost per job when revising the next quote and your monthly plan.

USD, one cleaning job; crew-hours include all paid workers
Input or resultEstimateActual
Revenue$240.00$240.00
Paid crew-hours45
Loaded cost per crew-hour$25.00$25.00
Labor cost$100.00$125.00
Supplies$12.00$15.00
Travel cost$10.00$14.00
Payment fees$7.20$7.20
Contribution before monthly overhead$110.80$78.80

Actual contribution is $32 lower, from $110.80 to $78.80: $25 more labor, $3 more supplies and $4 more travel.

Scope and missing inputs

Use one currency and consistent treatment of taxes in both columns. The currency label does not convert amounts. The hourly cost should include payroll burden you need to recover; also assign a cost to owner delivery time if applicable. Do not add that same labor cost again in another field.

Contribution is revenue less the direct costs entered. It still has to fund monthly overhead and any owner pay or profit goal outside these job costs. The worksheet does not forecast bookings, allocate monthly overhead, or assess taxes and cash collection timing. Required inputs remain visibly incomplete until entered, including explicit zeros.
